Call Handling Notes

At times you may wish to provide additional information to users in respect to your Call Handling Mode (CHM) status beyond just changing your CHM. For example, your CHM might be 'In a Meeting' but you may also want users to know you will be back at 2:30pm.

With ShoreTel Communicator, you can add a call handling note so when users mouseover your name it will display the note you have created.

Adding a call handling note is simple. Here's how:

The first step is to click on the ShoreTel icon at the top left of your ShoreTel Communicator and select 'Options'.

In the 'Options and Preferences' window, select the CHM you will use when you would like your call handling note to be visible. You may choose any of the five call handling modes (Standard, In a Meeting, Out of Office, Extended Absence, or Custom). In the example below we chose 'In a Meeting'.

You will see the 'In a Meeting' settings on the right.  Towards the bottom there is a box for 'Call handling note'. This is where you may enter your customized call handling note. Our call handling note reads, "At client site. I will be back at 2:30pm".

Now when your CHM is changed to ‘In a Meeting’ users will see the call handling note you entered when they mouseover your name.

To remove the note just go back into the ‘Options and Preferences’ window and select the call handling mode used, delete the call handling note and click ‘OK’.
